How Does Professional Video Production Work? From Brief to Final Delivery

What actually happens after you commission a video production agency? Many companies are unsure what to expect — and that leads to misunderstandings, delays, and disappointment. This article explains the complete process of professional video production from start to finish.

Phase 1: Brief and quote

Every production starts with a briefing conversation. We clarify: what is the goal of the video? Who is the target audience? Which channels will it be used on? What budget is available? Are there reference videos that show the desired style?

A good brief is the most important investment a client can make in a video production. The more precise your vision, the smoother the entire production. After the briefing you receive a detailed quote with scope, timeline, and costs.

Phase 2: Concept and pre-production

After commissioning, we develop the concept and script. The concept is the creative foundation: how do we tell the story? What tone suits the brand — factual or emotional, fast or calm, intimate or distant? The concept is submitted for your approval before we proceed.

Pre-production covers everything that needs to be organised before shoot day: location scouting, casting (if talent is needed), filming permits (especially relevant for exterior shoots in Berlin), equipment planning, crew assembly, storyboard or shot list.

This phase is often underestimated. Good pre-production prevents problems on shoot day and saves time and money in the end.

Phase 3: The shoot

On shoot day, the material is captured. How many days are needed depends on the scope: a social media video often takes half a day; an image film with multiple scenes and locations can take two to three days.

Our crew works efficiently and discreetly — especially important when filming at a working business. We coordinate all parties, manage timing, and give you as the client the opportunity to follow the shoot and give feedback throughout.

Phase 4: Post-production

Post-production is often the most time-intensive phase. It includes: reviewing and selecting footage, editing (first cut, then fine cut after feedback), colour grading, sound design and music selection, voiceover or subtitles if required, motion graphics or title cards.

You receive a first cut to review and can submit change requests. The number of feedback rounds included is set out in the quote — typically two to three. Additional rounds are possible and billed transparently.

Phase 5: Sign-off and delivery

After final approval, we deliver the finished video in all required formats: a high-resolution master file, a compressed web version, and various aspect ratios for different platforms (16:9 for YouTube, 9:16 for Instagram Stories and TikTok, 1:1 for feeds).

Usage rights transfer to you upon delivery. We remain available as a contact after sign-off — for example if you later need additional formats or cut-down versions.

Typical timelines

As a rough guide: a social media video takes 1–2 weeks from brief to delivery. An image film takes 3–6 weeks. A complex commercial takes 6–12 weeks. These timelines assume briefing and approvals are given promptly.
